Centralized Docketing Specialist

Bond, Schoeneck & King, PLLC, a law firm of 300 attorneys in over 30 practice groups, is accepting applications for a full-time Centralized Docketing Specialist to provide expertise for docketing and court filing procedures. This role designs and delivers training for administrative staff across the Firm, including training tailored for the Litigation, Labor, and Trusts & Estates departments. The successful candidate combines deep knowledge of rules-based calendaring and court systems with excellent communication skills, a service mindset, and the ability to standardize processes across offices.
Position Responsibilities:
- Design, implement, and continuously refine training programs for administrative assistants, paralegals, and other staff with docketing responsibilities, including firmwide onboarding, refresher modules, and targeted upskilling.
- Keep apprised of developments regarding applicable rules and procedures across federal, state, local, and administrative forums, and translate those requirements into clear, practical guidance for administrative staff.
- Serve as the primary resource for docketing software inquiries, troubleshooting, and best practices; partner with IT and vendors as needed to optimize workflows.
- Provide backup coverage for firmwide docketing to include monitoring dockets, reviewing filings and correspondence to calculate deadlines, entering and maintaining calendar events, and ensuring compliance with local court and judges rules, and generating reports.
- Provide training and backup coverage for electronic filing of documents in state and federal trial and appellate courts, coordinating with support staff, court personnel, and attorneys to ensure compliance with all filing rules and technical specifications.
- Contribute to special projects and provide general administrative support as needed to enhance the firm’s docketing function and decrease risk to the firm.
- Performs other duties as assigned.
Job Requirements:
- Prior experience in a legal professional setting.
- Minimum of 5 years of prior docketing experience preferred.
- Familiarity with CourtAlert (or other rules-based calendaring software) preferred.
- Experience supporting and maintaining firmwide calendaring across multiple practice groups and offices.
- Self-directed, detail-oriented professional who works efficiently both independently and in collaboration with attorneys, paralegals, and administrative staff.
- Strong understanding of court docketing and calendaring procedures, including the practical application of court rules to pleadings and other filings.
- Excellent organizational skills, exceptional attention to detail, and sound judgment in managing competing deadlines and priorities.
- Outstanding written and verbal communication, presentation, and persuasion skills, with the ability to train colleagues of varying experience levels across offices.
- Proficiency with Microsoft Office and experience with rules-based calendaring software (e.g., CourtAlert).
- Hands-on experience with federal, state, and local courts and their e-filing systems, including NYSCEF, PACER, and applicable appellate platforms.
- Working knowledge of New York state and federal court rules and procedures, with the ability to quickly research and apply local rules and administrative agency requirements.

This position's salary range is between $65,000 to $75,000, negotiable based on years’ experience.
