Client Services Representative

Bond, Schoeneck & King, PLLC, a law firm of 300 attorneys in over 30 practice groups, is accepting applications for a full-time Client Services Representative to support our Syracuse office location.  The ideal candidate will provide a welcoming experience to the firm, creating a positive and memorable experience for every guest, client, and team member who comes to our Syracuse office. This role blends hospitality, communication, and administrative support to ensure smooth daily operations and a great front‑of‑house experience.

Position Responsibilities:

  • Greet clients and vendors with a warm, solution-focused mindset. Assist in resolving issues as they arise and notify the appropriate internal parties of visitor arrivals.
  • Serve as a brand ambassador, reflecting the company’s values, culture, and commitment to exceptional service.
  • Identify opportunities to enhance the guest experience and proactively address issues before they escalate.
  • Accept deliveries and ensure all items are tracked and logged.
  • Answer and direct phone calls, emails, and inquiries with clarity, courtesy, and efficiency.
  • Support internal teams by scheduling meetings, preparing conference rooms, and assisting with administrative tasks.
  • Serve as the primary coordinator of conference room reservations, including ordering and setting up of catering for larger meetings and maintaining catering kitchen supplies.
  • Oversee office building orders including submitting and tracking progress through completion.
  • Assist on special administrative tasks and projects as requested by various departments.
  • Provide additional administrative support to attorneys and paralegals as needed.
  • Assist with travel arrangements.
  • Assist with firm events as they arise.
  • Performs other duties as assigned.


Job Requirements:

  • At least two years of front desk or reception experience preferred, ideally in a fast‑paced or client‑facing setting.
  • A naturally positive, welcoming attitude that helps create a warm first impression.
  • Exceptional interpersonal skills with the ability to connect easily with clients, visitors, and colleagues.
  • Strong computer proficiency and comfort learning new systems and tools.
  • Excellent organizational abilities with a sharp eye for detail.
  • Proven capability to multitask, stay focused, and prioritize work in a dynamic environment.
  • Reliable, punctual, and consistently professional in appearance and demeanor.
