Legal Billing Specialist

Bond, Schoeneck & King, PLLC, a law firm of 300 attorneys in more than 30 practice and industry groups, is accepting applications for a full-time Legal Billing Specialist to support our Accounting Department in our Syracuse, Rochester, or Buffalo NY office locations. This position is responsible for managing and maintaining billing processes to ensure accurate and timely submission of invoices to clients. The ideal candidate will possess a strong attention to detail, excellent organizational skills, and the ability to work collaboratively with internal teams and external vendors.
Position Responsibilities:
- Generate, review, and edit client pre-bills for accuracy
- Coordinate the distribution of prebills and follow up with attorneys to ensure timely processing and approval
- Prepare, review, and submit invoices via mail or email based on client requirements
- Monitor invoice status and follow up on missing information, discrepancies or delays
- Respond promptly to attorney and client-specific billing requests and questions
- Perform monthly review and follow-up on Work in Process aging to ensure matters are billed timely
- Collaborate with billing attorneys, finance, and client teams to resolve billing issues
- Maintain organized billing records and documentation to support audits and inquiries
- Assist with special projects and ad hoc billing needs as assigned
Job Requirements:
- Legal background required, with a solid understanding of billing practices in a law firm or professional services environment.
- 2–3 years of billing processing experience preferred, with demonstrated ability to manage complex billing cycles.
- Experience with the Aderant Accounting System preferred; familiarity with other legal billing platforms is a plus.
- Strong analytical skills required, with the ability to identify discrepancies and ensure accuracy in financial records.
- Proficiency in Microsoft Excel and Word; advanced skills in data management and reporting are advantageous.
- Excellent written and verbal communication skills required, with the ability to interact effectively with attorneys, clients, and colleagues.
- Collaborative team player who can also work independently, demonstrating initiative and accountability.
